Part-Time Facilities Assistant

As a Part-Time Facilities Assistant in South Dublin, this role is crafted for proactive and dynamic individuals ready to take on a multifaceted position that intertwines administrative support with facilities management in a specialist healthcare facility. Stationed at the Front of House Reception Area, you will be the initial point of contact, embodying the organisation’s professionalism and commitment to excellence.   • Serve as the first point of contact for visitors, creating a welcoming atmosphere and ensuring a positive first impression of the healthcare facility.
  • Manage incoming calls with attentiveness, directing them to appropriate departments efficiently.
  • Take charge of mail and parcel distribution, including the operation of the Franking Machine and overseeing courier services.
  • Coordinate meeting room bookings, guaranteeing spaces are prepared and well-equipped for meetings.
  • Conduct regular safety checks in adherence to fire safety and health & safety policies, acting as a custodian of workplace safety.
  • Play a pivotal role in the implementation and oversight of health and safety procedures, ensuring a secure and compliant working environment.
  • Oversee access management to essential areas and maintain a log for accountability and security.
  • Embrace the roles of First Aider and Fire Warden, contributing to a culture of safety and preparedness.
  • A minimum of 3 years of experience in a role that combines reception duties with facilities management.
  • Eligible to work in Ireland on a permanent basis.
  • Advanced proficiency in Microsoft Office (Word and Excel).
  • Demonstrated ability in creating an efficient and welcoming front-of-house environment.
  • Experience in implementing and adhering to Health and Safety protocols, with a commitment to compliance and workplace safety.
  • Knowledge or certification in Fire Safety is highly regarded.
  • First-Aid training, ready to respond to any health emergencies promptly.
  • Excellent communication skills, capable of engaging effectively with stakeholders at all organisational levels.
  • Adept at calendar management, organising meetings, and scheduling events with meticulous attention to detail.
  • Familiarity with CMMS (Computerized Maintenance Management Systems) and CRM (Customer Relationship Management) tools, aimed at enhancing the efficiency of administrative and facilities tasks.
