Job Overview

A leading SaaS Company is seeking a detail-oriented Temporary Office Manager for their Dublin office. This role is pivotal in maintaining a well-organised, welcoming workspace for a team of 45 professionals. You will manage the office operations, oversee supplies, coordinate weekly events, support facility upgrades, and handle security access. Ideal candidates are organised, comfortable managing vendors, and enjoy a dynamic, hands-on role in a collaborative office environment.

Key Responsibilities

Office Operations
  • Facilities Oversight: Manage office supplies, order essentials like food, and maintain a clean, well-stocked workspace.
  • Space Upkeep: Coordinate with janitorial staff, address minor repairs, and support light office modifications (e.g., adding desks or removing temporary walls).
  • Access and Security: Ensure secure access by managing keycards and working with building management as needed.
Event Coordination
  • Weekly and Special Events: Plan weekly team lunches and special occasions, including holiday dinners and monthly gatherings, fostering team cohesion.
  • Team Support: Collaborate with internal teams to organise events that enhance office morale and engagement.
Project and Vendor Management
  • Office Improvement Projects: Manage minor facility modifications, ensuring alignment with office layout and safety standards.
  • Vendor Liaison: Act as the main contact for service providers, overseeing service level agreements to ensure smooth daily operations.

Requirements

  • Facilities or Office Management Experience: Minimum 5 – 8 yrs Proven track record in facilities or office management.
  • Technical Proficiency: Proficient with Google Suite and quick to adapt to new tools like Slack or project management software.
  • Strong Organisational Skills: Detail-oriented and adept at managing multiple tasks to maintain seamless operations.
  • Event Planning Skills: Experience in organising and coordinating both routine and special events.
  • Hands-On Approach: Comfortable with practical, day-to-day office management tasks.
  • Effective Communication: Ability to communicate well with team members and vendors, ensuring a positive and collaborative work environment.
