The Senior Administrator – Admin Support role supports the PM Department by performing various administrative tasks, including routing documents for approvals, managing asset registrations, and updating databases with training records. The role also includes responsibilities such as organizing project handover files, maintaining an approved contractors list, and managing permits and stationary orders. This role also requires attendance at PM and document control meetings and completion of all necessary training.

This position of Senior Administrator would suit a candidate with a minimum of 5 years Senior Administration experience within a Technical environment.

What you will be responsible for:

  • MIDAS- Route all Documents for approvals on Software System, provide support for Systems access and queries as a Steward. Make documentation obsolete and inactive where necessary. Manage Asset Registrations that are not approved by Shared Services. Update documents to next revision and route for approvals.
  • Contractor Training – Retrieve all Training records. Review Records and communicate back any issues to Trainers, Process documentation and update multiple databases with details. Log details onto System and check into archives.
  • SOR/PIMS- Use PIMS Safety Observation Software to input Safety Information onto the system.
  • Qual Docs- Complete 3 Year reviews updates for SOP/Master Forms, Format and upload for review and approvals
  • Project Handover Files-Organise Project handover files so it can be accessed by company.  Transfer the Files to Projects folder and update Index.
  • Contractor Documentation – Maintain and update Approved Contractors List to ensure insurance certs are up to date. Update Excel with details, update SharePoint with Certification including other documents for any new contactors.
  • Recording of training for IDA Grant-Record training provided by Project Team to personnel to facilitate financial claim by site against an IDA Training Grant.  Communicate to engineers who will provide the information to be recorded.  Update the Database and SharePoint with Attendance Roster, Template and Training Record and Link them.
  • Permits – Manage Permit Spreadsheet- gain approvals and complete Permit/Letter and other documents to permit same.
  • Stationary Order- Order Monthly stationary, be POC for Printer issues.
  • General Admin- Provide information on previous contractor training/Filing/Photocopying/PM Support, Audit support, collect Post.
  • Complete all Training as required.
  • Attend PM / Doc Control Meetings as required.
  • Contractor Management: Training requirements are to be correct, get approvals and update the List and database.

You will need:

  • Minimum 4/5 years Senior Administration experience within a Technical environment
  • High level of proficiency using in house databases
  • SAP experience very useful
  • Excellent IT skills essential – MS Word and Advanced MS Excel Essential
  • Excellent communication skills, both written and verbal essential
  • Highly organised with strong attention to detail essential
  • Ability to multi-task and work well under strict deadlines essential
  • Must be able to do repetitive work on an ongoing basis
