Our client is a global organisation within the pharmaceutical and biotech industries, dedicated to developing life-enhancing products. They are seeking to hire a Scheduler to assist in their quality auditing processes for 2025.
Job Overview
As an Audit Scheduler, you will coordinate and manage the scheduling of audit activities for a global quality auditing team. This role is critical in ensuring all audit schedules are finalised by December 2024, utilising tools such as Microsoft Teams, Excel, and Outlook to support the Enterprise Quality Auditing (EQA) team.
Day-to-Day Responsibilities
- Coordinate and Manage Audit Schedules: Collaborate with internal teams and external stakeholders to arrange and confirm audit dates, times, and resources. Ensuring the project is completed by December 2024 is vital.
- Communicate with Stakeholders: Regularly liaise with internal and external contacts to ensure all parties are informed and prepared for scheduled audits. This includes distributing detailed itineraries, agendas, and participant lists.
- Maintain Scheduling Tools: Utilise Microsoft Teams, Excel, and Outlook to manage and update scheduling databases and tracking systems, ensuring accuracy.
- Provide Progress Updates: Regularly report on the status of scheduling efforts to Avril, the Global Director of Enterprise Quality Auditing, and other relevant stakeholders.
- Resolve Scheduling Conflicts: Quickly address any issues or conflicts that arise, maintaining the integrity of the audit schedule.
Requirements for the Role
Essential Skills
- Advanced Organisational Skills: Ability to manage complex schedules across multiple time zones and stakeholders.
- Proficiency in Microsoft Tools: Strong skills in Microsoft Teams, Excel (intermediate level), and Outlook for scheduling and communication.
- Effective Communication: Clearly and confidently communicate with both internal and external stakeholders to ensure all audit schedules are adhered to.
- Attention to Detail: Ensures accuracy in scheduling details, preventing miscommunication or conflicts.
- Problem-Solving Abilities: Ability to anticipate and resolve scheduling issues quickly.
Essential Experience
- Scheduling in a Regulated Industry: Experience in scheduling within pharmaceutical, manufacturing, or other regulated industries is highly beneficial.
- Coordination and Communication: Proven ability to coordinate schedules and communicate effectively with diverse stakeholders.
- Proficiency in Microsoft Tools: Practical experience using Microsoft Teams, Excel, and Outlook for scheduling and coordination tasks.
Essential Qualifications
- Educational Background: Education to a leaving certification standard or equivalent is required.
- Industry Knowledge: Knowledge of the pharmaceutical industry or experience in a regulated environment is highly advantageous.
Tools and Systems Used
- Microsoft Teams: Used for scheduling meetings and communication.
- Microsoft Excel: Used for scheduling, data management, and tracking.
- Microsoft Outlook: Used for communication and coordination.
- Webex: May be required for meetings or communication.
