About the Role

We are seeking a Receptionist & Facilities Coordinator to join a leading American IT company specialising in AI-powered data security and management software. This is a full-time, permanent position based in Cork City, offering an exciting opportunity to play a key role in front-of-house operations and workplace services.

You will be the first point of contact for employees, visitors, and vendors, ensuring a professional and welcoming office environment. The role also involves facilities coordination, office administration, and workplace support, requiring a proactive and highly organised individual.


Key Highlights

  • Front Desk Management – Greet and assist visitors, issue visitor badges, and maintain a professional reception area.
  • Mail & Deliveries – Receive, sign for, and distribute incoming post and courier deliveries.
  • Office Administration – Handle employee queries, assist with courier bookings (e.g., DHL), and manage office supplies.
  • Workplace Systems – Use the JIRA ticketing system to handle workplace service requests.
  • Conference & Event Support – Assist with meeting room bookings and office events.
  • Security & Access Control – Liaise with security to manage employee access badges.
  • Parking Management – Request parking pass top-ups from the local car park vendor.
  • Workplace Services Support – Provide administrative assistance to the Workplace Services Manager as needed.

What You Need to Succeed

Essential Requirements:

2+ years’ experience as a corporate receptionist or facilities coordinator – Prior experience in a professional office setting is essential.
Strong IT proficiency, including Microsoft Office 365 (Word, Outlook, Excel) – Must be comfortable handling office software in daily tasks.
Experience with workplace systems like JIRA – Familiarity with task or facilities management software.
Stable employment history – We value candidates with a proven track record of commitment in previous roles.
Professional and personable demeanour – As the face of the company, you must be approachable and well-presented.
Excellent organisational and multitasking skills – Ability to manage multiple priorities efficiently.

Desirable Skills:

Facilities coordination experience – Managing office supplies, vendor relationships, and workplace logistics.
Event coordination skills – Assisting with in-house office functions and gatherings.
Additional workplace software experience – Knowledge of other workplace tools is an advantage.
