About the Role

An exciting opportunity has arisen for a Receptionist & Facilities Coordinator to join a leading American IT company specialising in AI-powered data software. This position is a temporary assignment, operating on a rolling week-to-week basis, with the potential to become permanent for the right candidate.

The role is based on-site in Cork City and involves front-of-house reception duties, office administration, and facilities coordination. You will be the first point of contact for visitors, vendors, and employees, ensuring a professional and welcoming environment while also managing workplace systems and supporting day-to-day office operations.


Key Highlights

  • Greet and assist visitors, issuing visitor badges
  • Maintain a professional and organised front desk and reception area
  • Receive, sign for, and distribute mail and deliveries
  • Manage staff queries and assist with courier bookings (e.g., DHL)
  • Handle JIRA ticketing system for workplace service requests
  • Assist with conference room bookings and office events
  • Order office supplies, including weekly milk and fruit orders
  • Liaise with security to manage employee access badges
  • Request parking pass top-ups from the local car park vendor
  • Provide administrative support to the Workplace Services Manager as needed

Requirements:

Essential Requirements:

2+ years’ experience as a corporate receptionist or facilities coordinator – Previous experience in a professional office environment is essential.

Strong IT proficiency, including Microsoft Office 365 (Word, Outlook, Excel) – Minimum of 2 years’ experience using these tools in a workplace setting.

Experience with workplace systems like JIRA – Familiarity with task or facilities management systems is required.

Stable employment history – We are looking for candidates who have demonstrated commitment and longevity in previous roles.

Personable and professional demeanour – As the front-of-house representative, you must be friendly, approachable, and professional at all times.

Excellent organisational and multitasking skills – Capable of handling multiple tasks efficiently while maintaining attention to detail.

Desirable Skills:

Facilities coordination experience – Managing office supplies and vendor relationships.

Event coordination skills – Assisting with office functions and gatherings.

Additional software experience – Familiarity with workplace tools is beneficial.
