About the Role
We are seeking a Finance Administrator to provide short-term administrative and financial support who is immediately available to step in for this 6-month temporary assignment based near Oranmore, Co. Galway. The role is focused on clerical and finance-related administration, ensuring accurate processing of invoices, budget tracking, and efficient coordination of procurement and operational activities.
Key Responsibilities
- Process monthly invoices from the vessel technical support services contractor via SharePoint.
- Cross-check invoice backups against billed amounts and resolve discrepancies.
- Update RVOps accounts and income sheets monthly; maintain orderly records.
- File approvals for contractor purchases and support procurement processes.
- Administer the foreign vessel observer scheme and related documentation.
- Maintain the RVOps section on the MI website with current information.
- Raise internal and external charter memos/invoices; issue charter agreements.
- Provide general administrative support for RVOps and the Director, OCIS, including collation of service group monthly updates.
Essential Skills & Experience
- Financial Administration Background
- Minimum 2–3 years’ experience in a similar finance or accounts administration role (e.g. invoice processing, preparing financial reports, credit control, budget tracking).
- Technical Proficiency
- At least 4–5 years’ hands-on experience using the Microsoft Office Suite (Excel, Word, Outlook, Teams, SharePoint) with demonstrable skills in creating, updating, and analysing financial spreadsheets.
- Communication Skills
- Fluent written and spoken English, with the ability to communicate confidently with officials, contractors, and colleagues of varied backgrounds. Must be able to proof financial and contractual documents quickly and accurately.
- Organisation & Independence
- Proven ability to manage multiple tasks and deadlines without supervision, maintaining accuracy and quality under pressure.
- Attention to Detail
- Strong record of accuracy in financial data entry, reconciliations, and reporting.
- Professionalism
- Comfortable liaising with senior officials and external contractors, maintaining discretion and professionalism at all times.
