Position at a Glance
Role Purpose
The Facilities Officer ensures safe, compliant, and efficient operations across a multi-building office campus in South Dublin. The role spans hard and soft FM service lines with accountability for statutory compliance, planned preventative maintenance (PPM), contractor management, and delivery to agreed SLAs and KPIs.
Key Deliverables
- Facilities Operations: Oversee day-to-day FM operations and conduct scheduled building inspections; ensure defects are closed within agreed timeframes.
- PPM & Compliance: Maintain PPM schedules and statutory testing (fire detection, emergency lighting, water hygiene, electrical); keep compliance registers and audit trail current.
- Health & Safety: Lead site H&S compliance in line with HSA, Fire Safety and Building Regulations; complete risk assessments, audits, and implement corrective actions.
- Life-Safety Systems: Manage drills and assurance for fire alarms, sprinklers, extinguishers and evacuation procedures with competent contractors.
- Contractor/Vendor Management: Manage cleaning, catering, security, maintenance and waste contracts; monitor supplier performance against SLAs/KPIs and escalate as required.
- Financial & Reporting: Support OPEX/CAPEX planning; track utilities and implement efficiency initiatives; produce monthly reports on compliance status, incidents, and budget variance.
- People & Service: Supervise front-of-house/reception and housekeeping teams; act as primary FM contact for staff, visitors and contractors.
Essential Requirements
- Experience
- Minimum 3 years’ facilities/property management experience within a multi-building environment.
- Technical Knowledge
- Working knowledge of M&E services (HVAC, electrical, life-safety systems) and statutory compliance obligations.
- Compliance Control
- Proven management of PPM schedules, compliance registers, risk assessments, audits and close-out of actions.
- Supplier Performance
- Hands-on contractor coordination with measurable outcomes against SLAs and KPIs.
- Communication & Stakeholders
- Confident, professional engagement with internal users, visitors and external vendors.
- Problem Solving
- Analytical, proactive approach; able to prioritise risks and implement sustainable solutions.
- Work Eligibility
- Full legal right to work in Ireland on a permanent basis (no visa sponsorship available).
