We’re hiring an Executive Assistant for a leading architecture and design studio in Dublin 8. This permanent, full-time role is ideal for a highly experienced administrator who excels in executive support and thrives in a creative, professional environment.
Note: While the internal title for this position is Studio Administrator, the day-to-day responsibilities are those of a high-level Executive Assistant — managing senior leadership schedules, overseeing office operations, and supporting key coordination functions across European teams.
Key Responsibilities:
- Provide confidential, high-level executive support including diary management, international travel coordination, and meeting planning.
- Oversee daily studio operations including facilities liaison, vendor coordination, and stock/supplies management.
- Manage meeting rooms, coordinate IT/AV setup, and arrange hospitality for visiting clients and guests.
- Assist in organising CPD sessions, internal events, and inter-office meetings.
- Maintain key records including annual leave, sick leave, and team attendance.
- Liaise with building management and represent the studio in external service matters.
- Act as the first point of contact for internal communications and visiting professionals.
About You:
- 5+ years’ experience in a Senior Administrator, Executive Assistant, or Office Manager role.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, MS Teams).
- Strong organisational and multitasking skills, with proven diary and travel management experience.
- Excellent written and verbal English communication skills (native-level fluency required).
- Able to work independently with discretion, initiative, and a keen eye for detail.
- Previous experience in an architecture, creative, or design-led environment is desirable.
- Comfortable using SharePoint and supporting internal CPD or event coordination.
- Experience in a European AEC (Architecture, Engineering, Construction) environment is an advantage.
Working Hours:
- Monday to Friday, 8:30 AM – 5:00 PM
- Fully office-based in Dublin 8
