About the Role
We are proud to be working with a leading construction company in Parkwest, Dublin 12, to recruit a Contract Support Administrator for their busy office.
This role is all about keeping projects and people on track in a fast-paced environment where no two days are the same. You’ll need to be able to efficiently multitask in order to meet tight deadlines, and ensure smooth communication between management, site staff, subcontractors, and clients.
It requires a confident, resilient administrator who can multitask under pressure, manage competing priorities, and still maintain accuracy and professionalism. Communication skills are absolutely critical—this role demands someone who can clearly convey information, chase up actions, and ensure everyone knows what needs to be done.
Key Responsibilities
- Time & Attendance: Monitor daily clock-ins/outs for up to ~80 staff via digital apps; investigate and resolve discrepancies promptly.
- Invoice & Order Reconciliation: Match delivery dockets to site orders; verify invoices and liaise with suppliers to close gaps or credit notes.
- Project Documentation: Collate and format reports; build handover packs; upload records and site photos to external systems as required.
- Communication Hub: Maintain clear, timely updates between managers, site teams, subcontractors and clients; chase actions and confirm outcomes.
- Administrative Support: Answer calls, manage mailboxes and schedules; produce accurate documents, trackers and spreadsheets.
- Systems & Tools: Use Microsoft Word/Excel/Outlook confidently; learn construction-specific software with in-house training.
Essential Requirements
- Experience
- 4–5 years in administration, reception or customer service (construction, temp desk, healthcare rostering or retail scheduling helpful).
- Communication
- Exceptional communication skills; able to convey information clearly, escalate appropriately and keep stakeholders aligned.
- Multitasking & Deadlines
- Track multiple workstreams, re-prioritise calmly and deliver to tight deadlines with consistent accuracy.
- Technology
- Advanced MS Office (Excel & Word essential); quick to learn new apps and systems.
- Team Coordination
- Assertive, personable and culturally aware; able to keep diverse site teams and suppliers accountable.
- Reliability
- Punctual, organised and detail-focused; maintains accurate records in a high-activity office.
- Work Eligibility
- Full legal right to work in Ireland for the contract duration.
