About the Job

This role is responsible for managing the daily operations of a high-profile corporate facility, ensuring seamless functionality and adherence to key performance indicators (KPIs). The Assistant Facilities Manager will oversee maintenance, security, and custodial teams while coordinating with service providers to maintain an efficient and safe working environment.

The ideal candidate will have a background in technical maintenance, facilities management, and supplier coordination. This role requires a proactive, detail-oriented professional with strong problem-solving skills, a focus on compliance, and the ability to manage multiple stakeholders effectively.


Responsibilities & Required Skills Comparison

Key ResponsibilitiesRequired Skills & QualificationsStandard for €58,000 Salary
Supervise and coordinate maintenance, security, and custodial teamsLeadership Experience: Minimum 5 years leading a facilities or maintenance team in a corporate/commercial settingExperience managing at least 10+ staff, including direct reports and outsourced vendors
Oversee building repairs, maintenance schedules, and equipment upkeepTechnical Knowledge: Strong understanding of HVAC, plumbing, electrical systems, and general building maintenanceMinimum of a Level 6 qualification (NFQ) in a technical field (e.g., Mechanical/Electrical Engineering) or equivalent trade qualification
Manage vendor contracts and monitor service qualityContract & Supplier Management: Experience negotiating and overseeing vendor agreementsProven track record of managing contracts worth €500K+ annually and ensuring KPI compliance
Ensure compliance with Irish health and safety regulationsHealth & Safety Compliance: IOSH Managing Safely or NEBOSH certificationMinimum 3 years of experience overseeing workplace health & safety procedures, risk assessments, and audits
Monitor and manage budgets for facilities operationsBudget Management Skills: Experience handling cost control and financial planningProven ability to manage and optimise an operational budget of at least €1M per year
Act as the primary point of contact for landlords, service providers, and internal teamsStakeholder Management & Communication: Strong interpersonal skills and negotiation abilityExperience dealing with C-suite executives, landlords, and multiple service providers in a corporate setting
Conduct regular inspections and audits to maintain facility standardsAttention to Detail & Compliance Mindset: Ability to identify risks and areas for improvementConducted at least 12 audits per year, with a demonstrated track record of reducing compliance risks
Oversee emergency response procedures and escalate issues when neededCrisis Management & Problem-Solving: Ability to react quickly to urgent maintenance issuesExperience handling at least 10+ emergency incidents per year, ensuring rapid resolution
Maintain accurate records and facility documentationIT Proficiency: Strong ability to use Microsoft Office and facilities management softwareProficiency in CAFM systems (e.g., Concept Evolution, Maximo) with at least 3 years of practical experience
Assist in refurbishment projects and space planningProject Management Experience: Experience handling facility upgrades and office fit-outsSuccessfully delivered at least 3 large-scale projects (€250K+) within scope, budget, and timeline
