Customer Service Administrator

Location: Co. Dublin Dublin 1
Contract Length: Permanent
Position: Full-Time
Salary: €27K
Hours-Of-Work: 40 Hours Per Week

OUTLINE:

The successful candidate will be a warm and welcoming individual. The role will require them to work the front-of-house for accommodations in Dublin City Centre. Previous experience in facilities management would be an advantage, as you will be responsible for customer service, amenities and daily operations.

ABOUT:

This is a permanent position and involves a blend of office administration and light facilities management. The company you will be working for is a renowned global accommodation specialist. As such you will be the face of their front-of-house operations. Their success is based on their ability to create a living space which cultivates a lifestyle for their residents through events. The core skills required for this role are as follows:

  • Diary and Appointment Management
  • Database Management
  • Document Management
  • Event Organising
  • Excel
  • Filing
  • Meeting & Greeting
  • Inbound and Outbound Calls
  • Customer Service & Relationship Management
  • Microsoft Office Suite.

ROLE AND RESPONSIBILITIES:

  • To manage all general enquiries including responding to letters and emails
  • To provide weekly performance related information for sharing with the management team
  • To ensure that showrooms are kept clean and tidy at all times in readiness for viewings
  • To make appointments and assist with viewings.
  • To participate in face-to-face marketing activities at show events
  • To inspect flats, room and kitchens during the turnaround period
  • To be flexible on hours
  • To work occasional evenings or weekends for events and fairs
  • To work occasional weekends on a Rota basis during the busy months
  • To assist with the summer turnaround period: to include resident check-out and check-in
  • To prepare the documentation and arrival packs for all new residents
  • To answer all enquiries via telephone and email
  • To meet and greet customers and external visitors
  • To manage, improve and update the office information systems including contact databases and paper files

SKILLS REQUIRED:

  • Friendly and approachable
  • Positive attitude
  • Able to communicate effectively with people at all levels (orally and in written).
  • Good problem-solving skills / ability to use own initiative
  • Responsive to all queries
  • Influencing skills and a professional approach
  • Student accommodation experience or similar would be desirable but not essential
  • Customer service experience
  • A desire to learn and to continually develop
  • Willing to attend relevant training days/sessions
