Temporary Receptionist

Job Overview:

We are looking for experienced Temporary Receptionists available for short-term assignments, including holiday and sick leave cover. The role involves managing front-of-house operations and performing a variety of administrative tasks in dynamic, professional environments across central Dublin.

Key Responsibilities:

  • Reception Management: Ensure the reception area is tidy, welcoming, and presentable at all times.
  • Visitor Handling: Greet visitors warmly, direct them to the appropriate person or department, and manage visitor logs.
  • Telephone Operations: Handle incoming calls efficiently, manage switchboards, and transfer calls as necessary, ensuring all enquiries are addressed professionally.
  • Correspondence Management: Sort, distribute, and manage incoming and outgoing mail, as well as handle email correspondence with a high degree of accuracy and confidentiality.
  • Meeting Coordination: Assist in the scheduling of meetings, including setting up and preparing meeting rooms with necessary materials and refreshments.
  • Calendar Management: Manage staff calendars by scheduling appointments and ensuring there are no conflicts in bookings.
  • Administrative Support: Provide general administrative assistance, including booking taxis, making travel arrangements, and managing lunch orders.
  • Confidentiality: Maintain strict confidentiality at all times, ensuring sensitive information is handled securely.

Ideal Candidate Profile:

  • Proven experience in a reception or similar administrative role
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Excellent verbal and written communication skills in English
  • Strong organisational skills and the ability to multitask
  • Reliable with the ability to commute to central Dublin locations, often at short notice
  • Excellent customer service orientation
  • Adaptable and able to integrate quickly into new environments
