Office Administrator (Reception)

About the Role
This position is the central hub of a busy professional office, combining front-of-house reception with coordinated administrative support to multiple departments. You’ll manage high volumes of calls and emails, log requests accurately, keep records tidy and up to date, and ensure a smooth, professional experience for all visitors and stakeholders.
Key Responsibilities
- Support internal departments by logging requests, processing documentation, and generating reports using CRM and Excel tools.
- Assist with the preparation of quotations, internal reports, and marketing administration.
- Provide administrative and scheduling support to senior staff, including diary management and travel coordination.
- Manage front-of-house duties including answering and directing calls, greeting visitors, and handling incoming correspondence.
- Monitor and respond to high volume of calls and emails, ensuring all enquiries are logged and followed up efficiently.
- Oversee general office operations, including stationery orders, courier bookings, post, and maintaining a professional office presentation.
- Support project and service teams with additional administrative tasks when required.
Essential Requirements
- Experience
- Minimum 5 years’ experience in a multitasking administrative position, handling high-volume calls and emails within an IT/technical support environment. No exceptions.
- Administrative Background
- Proven track record in structured office administration, coordination, and documentation control.
- Systems & Tools
- Proficient with Microsoft Office (Outlook, Word, Excel) and CRM platforms; Salesforce experience advantageous.
- Organisation & Pace
- Excellent prioritisation, attention to detail, and follow-through in a fast-paced setting.
- Communication
- Confident, professional manner with clear written and verbal communication.
