About the Role
We are recruiting a professional and organised Front of House Office Administrator to act as the first point of contact for visitors, clients, and committee members while providing day-to-day administrative support to the Property Manager and Property Administrator. This is a fast-paced, customer-facing role where excellent communication, attention to detail, and a calm, solutions-focused approach are essential. Experience in property services or a related sector is an advantage.
Key Responsibilities
- Reception & Customer Service: Operate the switchboard, greet visitors, manage enquiries, and provide accurate information and solutions.
- Stakeholder Liaison: Communicate with customers and OMC committees/directors; support the assigned Property Manager and Property Administrator.
- Office & Facilities Support: Handle incoming/outgoing post; order and manage office stationery; oversee common areas (boardroom, kitchens, bathrooms) to ensure they remain presentable and stocked.
- Contractor Coordination: Log issues and arrange service contractor call-outs as required.
- Administrative Assistance: Prepare correspondence, newsletters, notices, meeting minutes, and receipts; schedule and support meetings.
- Ad hoc Tasks: Provide additional support on related duties and projects as they arise.
Essential Skills & Experience
- Experience
- Minimum 3 years’ experience in a customer-focused administrative or reception role (property management or related sector preferred).
- Customer Service
- Demonstrated record of professional, responsive service and effective issue resolution.
- Office Environment
- Proven ability to multitask and maintain accuracy in a fast-moving setting.
- Time Management
- Capable of prioritising workload, meeting deadlines, and working with minimal supervision.
- Technical Skills
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint); comfortable preparing accurate documents and reports.
- Communication
- Clear, professional written and verbal communication with diverse stakeholders.

- High attention to detail across documentation, records, and correspondence.

- Eligibility to Work (Ireland)
- Applicants must have the legal right to live and work in Ireland on a full-time, permanent basis. This role does not qualify for visa sponsorship (e.g., Stamp 4, permanent residency, EU/EEA/UK citizens).
