About the Role
We are hiring a Facilities Office Administrator to provide essential administrative support to the Facilities team within a leading international financial services organisation. You will help keep day-to-day operations running smoothly across facilities, health and safety, as well as mechanical/electrical support. Ideal for an experienced administrator who enjoys structure, cross-functional collaboration, and varied responsibilities in a professional corporate environment.

Key Responsibilities
- Weekly social media posting.
- Weekly PowerPoint presentations.
- Provide day-to-day administrative support for the Facilities team.
- Manage post, couriers, and office communications.
- Support onboarding/offboarding (inductions, equipment return).
- Maintain and update facilities policies, procedures, and intranet content.
- Act as secretary for internal meetings: scheduling, minutes, follow-ups.
- Reconcile invoices (courier, taxi) and liaise with finance teams.
- Monitor Health and Safety compliance; assist with audits, training records, and emergency response plans.
- Support sustainability and energy efficiency initiatives.
- Provide cover for the Facilities Officer (training provided on security, access, fire safety, CCTV, and BMS systems).
Essential Skills & Experience
- Experience
- Minimum 4+ years’ administration experience, ideally with facilities or health and safety exposure.
- Technical Proficiency
- Advanced IT skills are a core requirement: Microsoft Office (Word, Excel, PowerPoint, Outlook), MS Teams, Forms, intranet content management; database experience are critical to preforming successfully in this role.
- Communication
- Fluent written and spoken English with a professional, client-facing manner.
- Organisation
- Strong multitasking, scheduling, and attention to detail in a busy corporate environment.
- Professionalism and Confidentiality
- Discreet, reliable, and comfortable handling sensitive information.
- Qualifications
- Leaving Certificate minimum; further administration/facilities training is an asset.
- Work Status
- Legal right to work in Ireland (e.g., EU permit, Stamp 4). Visa sponsorship is not available.
