About the Role
We are recruiting an Office Administrator on behalf of a leading international financial institution based in Dublin 2. This is a highly administrative role supporting the Facilities team in maintaining smooth office operations for two global businesses co-located in a shared corporate workspace.
The ideal candidate will be methodical, proactive, and comfortable managing tasks independently while contributing as a team player. This role requires someone who understands how to handle purchase orders, query invoices, and manage routine facilities-based tasks—all while maintaining accurate records and internal systems.

- Provide administrative support to the Facilities team to ensure smooth office operations
- Maintain internal records and databases with accuracy and confidentiality
- Raise purchase orders (POs), track spend, and liaise with finance to query invoices
- Manage access control, including issuing staff ID/access cards
- Answer the main office phone line and direct queries appropriately
- Support with internal room bookings and hot desk allocations
- Coordinate general administrative duties such as document filing and data entry
- Assist with internal processes, including health and safety tracking and policy updates
- Contribute to community and sustainability activities within the company (CSR days)
What You’ll Need to Succeed
Legal Work Status | You must have the legal right to work and reside in Ireland without restriction. This role does not qualify for visa sponsorship and we are unable to consider candidates on temporary work permits. |
Experience | Minimum 5 years of experience in a similar administrative role, ideally within a facilities, finance, or corporate office setting. |
Initiative | Demonstrated ability to work independently, prioritise tasks, and take ownership of responsibilities with minimal supervision. |
Communication | Fluent English speaker with strong written and verbal skills |
Systems & Processes | Proficiency with Microsoft Office Suite and confidence working with internal databases. Experience raising POs and querying invoices is essential. |
Communication | Clear and professional communication style, with the ability to liaise across departments and with external vendors. |
Teamwork & Adaptability | A collaborative mindset and willingness to support colleagues, particularly during busy periods or staff leave. Flexibility regarding occasional cover is appreciated. |
Professionalism | A consistent, organised approach to tasks, with strong attention to detail and discretion in handling sensitive information. |
