Office Receptionist – Part-Time/Job Share, VAC-12017
About the role:
Are you an experienced corporate receptionist? Do you have previous experience using a MS Teams phone operating system? Would others describe you as welcoming and/or organised?
We are looking for an experienced receptionist to join a fast-paced organisation whose business is integrated with the Irish tourism sector. As the first friendly face clients and guests encounter when they arrive in the building, excellent communication skills are essential.
This is a permanent, part-time position working exclusively Wednesday through to Friday, from 9:00 AM to 5:30 PM.
(As this is a permanent role over the standard 20 hours per week, we cannot consider any applicants on a stamp 2 visa)
In addition to the standard receptionist tasks, managing phones, greeting visitors, overseeing the front-of-house operations, you will also support the office administrator with facilities/office supplies coordination as required.
The role suits a candidate with previous experience in a professional office reception environment, who can manage tasks independently, is comfortable using Microsoft Teams Phone, and communicates fluently in English.
Key Responsibilities:
- Manage all incoming calls via Microsoft Teams Phone; route calls appropriately or take clear, accurate messages.
- Greet and log all visitors in line with internal procedures and building access protocols.
- Maintain oversight of the front and rear entrances, always ensuring secure access.
- Monitor and manage reception email and MS Teams inboxes.
- Coordinate delivery and dispatch of post and courier services (local and international).
- Organise local deliveries and purchases including stationery, flowers, and refreshments.
- Oversee upkeep of the reception area and maintain a tidy, presentable workspace at all times.
- Support internal staff with room bookings, courier requests, and visitor management.
- Assist the Office Administrator with office supplies and facilities support as required.
- Provide reception cover training to relief staff when necessary.
- Undertake additional administrative tasks as directed by the HR Director or Office Administrator.
Candidate Requirements:
- Minimum 3–4 years’ experience in a corporate or commercial reception role.
- Confident using Microsoft Teams Phone for managing incoming calls.
- Fluent English – both written and spoken – is essential.
- Proficient in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint).
- Professional appearance, clear communication skills, and a methodical approach to administrative tasks.
- Demonstrated ability to manage time effectively and work without supervision.
