About the Job

A leading facilities management provider is seeking a Maintenance Planning Manager to oversee maintenance planning and scheduling using Maximo CMMS at a pharmaceutical manufacturing site in Dublin 17. This role is crucial in ensuring that all maintenance activities are efficiently coordinated, scheduled, and executed to maintain operational excellence.

The ideal candidate will have experience in maintenance planning, facilities management, and CMMS systems. Strong analytical skills, attention to detail, and the ability to coordinate resources effectively are essential for success in this role.


Responsibilities & Corresponding Requirements

Key ResponsibilitiesRequired Skills, Experience & QualificationsStandard for €55,000 Salary
Plan and schedule all preventive and corrective maintenance tasksCMMS (Maximo) Proficiency – 3+ years of experience in a similar role using MaximoAdvanced user level with demonstrated workflow management in CMMS
Manage and assign work orders efficiently to techniciansWork Order Management Experience – At least 3 years experience in a high-volume maintenance environmentMust have managed 500+ work orders per year
Coordinate subcontractors and internal teams for planned maintenance activitiesVendor and Team Coordination Skills – Experience managing subcontractors and in-house teams across multiple workstreamsMust have worked with at least 5+ external vendors annually
Monitor and maintain an optimised inventory of spare parts and maintenance materialsInventory & Procurement Knowledge – Proven ability to manage stock levels and procurement processesExperience maintaining a stock accuracy of 95%+
Ensure compliance with industry regulations and company maintenance standardsRegulatory Compliance Knowledge – Understanding of GMP, ISO 55000, or similar maintenance standardsCertifications or demonstrable experience in regulated environments
Develop workflow processes to improve efficiency and reduce downtimeProcess Improvement Experience – Experience in lean methodologies or process optimisationProven track record of reducing downtime by at least 15%
Liaise with stakeholders, including operations teams and senior managementCommunication & Stakeholder Management Skills – Strong verbal and written communication skillsExperience presenting maintenance performance data to leadership
Generate and analyse maintenance reports to track performance and identify areas for improvementData Analysis & Reporting Skills – Ability to extract, interpret, and present maintenance KPIs using Excel or BI toolsExperience in trend analysis & reporting on OEE (Overall Equipment Effectiveness)
