Assistant Facilities Manager

Location: Dublin 4
Contract: Permanent

About the Role

We are seeking an Assistant Facilities Manager to support the day-to-day operations of a high-standard facility, ensuring smooth functionality, compliance, and efficiency. This role involves managing staff, overseeing maintenance and repairs, implementing standard operating procedures, and ensuring compliance with safety regulations.

The ideal candidate will have a technical background and/or trade qualification, along with 5+ years of experience in a facilities management role. Knowledge of Irish building codes, safety regulations, and best practices is essential.

You will play a critical role in site compliance, safety management, and integrated facilities management (IFM). Strong communication, problem-solving, and organisational skills are essential, as well as the ability to manage multiple tasks and work independently.


Key Responsibilities

Facilities Management

  • Manage daily operations, ensuring the facility is maintained to a high standard.
  • Supervise and coordinate maintenance workers, custodial staff, and security personnel.
  • Monitor equipment, systems, and supplies to ensure optimal functionality.
  • Manage inventory and order necessary supplies and equipment.
  • Implement and maintain standard operating procedures (SOPs) for facility management.
  • Facilitate communication between departments to ensure smooth operations.
  • Assist in the development and management of the facility budget.
  • Organise and coordinate site events.

Site Compliance

  • Ensure adherence to company policies, regulatory requirements, and industry best practices.
  • Maintain compliance with Good Manufacturing Practices (GMP) where applicable.
  • Complete all site training and stay updated on operational procedures.
  • Promote a culture of safety and compliance within the team.

Safety / EHS Responsibility

  • Attend toolbox talks and contribute to safety discussions.
  • Promote environmental, health, and safety (EHS) excellence across the facility.
  • Oversee site permitting and compliance with health and safety strategies.

Integrated Facilities Management (IFM)

  • Complete assigned building maintenance tasks and respond to Helpdesk requests.
  • Engage with end users and the building maintenance lead to resolve issues.
  • Respond to emergencies such as building fabric damage, leaks, spills, and blockages.
  • Ensure repairs and maintenance are completed with minimal disruption.
  • Supervise specialist vendors to ensure work meets required standards.
  • Issue permits to work for third-party contractors.

Continuous Improvement & Training

  • Contribute to a culture of continuous improvement, implementing best practices.
  • Attend scheduled training sessions and actively participate in professional development.

Qualifications & Experience

Technical Skills

  • Strong knowledge of facilities management processes and best practices.
  • Experience in building maintenance, including HVAC, electrical, plumbing, and general repairs.
  • Proficiency in Microsoft Office and facilities management software.

Qualifications & Certifications

  • Technical background and/or trade qualification (essential).
  • Qualification in Facilities Management, Business Administration, or a related field (desirable).
  • 5+ years’ experience in a facilities management role, with knowledge of Irish regulations (preferred).
  • All qualifications and certifications must be recognised in Ireland.

  • Ability to work independently and handle responsibilities with minimal supervision.
