Job Overview
We are seeking an experienced Commercial Building Manager to oversee the daily operations and maintenance of a premier commercial office property located in the heart of Dublin 2. This role is designed for a proactive, detail-oriented professional with a background in property or facilities management. You will ensure the building’s functionality, safety, and appearance meet the highest standards, benefiting the tenants and upholding our commitment to excellence in property management.
As the Building Manager, you’ll be responsible for a range of activities, including budget management, tenant relations, health and safety compliance, and overseeing ESG (Environmental, Social, and Governance) initiatives. You’ll work closely with contractors and the property management team to keep operations running smoothly, implementing best practices in building management and enhancing the experience for all tenants.
Key Responsibilities
- Budget and Financial Management
- Develop and manage property budgets, approve expenditures, and track spending to remain within budget guidelines.
- Collaborate with senior team members on financial reviews, contributing insights to the budget planning process.
- Property Maintenance and Compliance
- Oversee building maintenance, ensuring systems and equipment function optimally, and coordinate timely repairs as needed.
- Manage health and safety compliance, ensuring building standards meet all regulatory requirements.
- Conduct regular property inspections and document any issues, working with contractors to resolve them promptly.
- Tenant and Client Relations
- Serve as the primary contact for tenants, addressing inquiries, coordinating access, and ensuring a positive tenant experience.
- Liaise with tenants on operational matters and provide regular updates on building initiatives and improvements.
- Contract and Vendor Management
- Engage and manage service providers for planned and reactive maintenance, ensuring high-quality work and adherence to contracts.
- Oversee contract tendering and negotiations to secure cost-effective, reliable services.
- Sustainability and ESG Initiatives
- Lead Environmental, Social, and Governance (ESG) initiatives, ensuring the building’s sustainability efforts align with organisational goals.
- Track and report on ESG activities, using data to drive improvements and compliance.
- Visitor and Facility Management
- Oversee the building’s reception and common areas, ensuring they are clean, secure, and reflect the building’s professional standards.
- Manage access control for secure areas, including tenant-only facilities like the bicycle parking and changing rooms.
Requirements
To be successful in this role, you’ll need to meet the following criteria:
- Qualification in Property or Facilities Management
- A recognised qualification in property management, facilities management, or a related field is required to ensure familiarity with industry standards and best practices.
- Experience
- Minimum 3 years of experience in commercial property or facilities management to demonstrate proven capability in handling the demands of a high-traffic building with professional tenants.
- Financial Acumen
- Demonstrated experience managing budgets and expenditures, ideally with hands-on experience in property management systems such as Yardi, is essential to manage financial aspects effectively.
- Health and Safety Compliance
- Knowledge of regulatory health and safety standards for commercial properties, with hands-on experience implementing safety protocols and conducting risk assessments.
- Technical Proficiency
- Proficiency in property management software (preferably Yardi) and familiarity with basic building systems, including HVAC, lighting, and security systems.
- Interpersonal Skills
- Strong communication skills, with the ability to liaise effectively with tenants, contractors, and internal teams.
- Organisational Skills and Initiative
- Ability to manage multiple tasks and deadlines, showing strong organisational skills and proactive problem-solving.
