A prominent organisation in the corporate services sector, known for its commitment to quality and compliance, is seeking short-term clerical support. The team focuses on maintaining precise and auditable tender registers for key projects spanning 2023 and 2024.

About the Job

This short-term administrative role is critical for ensuring that all procurement and tendering documentation is fully up-to-date and audit-ready. The successful candidate will support the Corporate Services Group by managing tender-related documentation, ensuring accuracy, and maintaining compliance with quality standards and procurement regulations. This is an immediate start, offering a full-time schedule of 35 hours per week.

Key Responsibilities

  • Review and update the 2023 and 2024 tender registers, ensuring all entries are accurate.
  • Audit the Request for Tenders (RFTs) and procurement files to identify and fill any gaps in documentation.
  • Liaise with internal staff to chase missing documents and ensure the tender register is complete.
  • Contact suppliers for backup documents such as insurance certificates, ensuring compliance with tender requirements.
  • Manage and organise procurement records for ease of access and review by auditors.
  • Provide clerical support to the Procurement and Tendering Team as needed.

Ideal Candidate Profile

The ideal candidate for this role will be a detail-oriented, proactive administrator with experience in document management and quality control. They will be comfortable communicating with staff and suppliers to retrieve necessary documents and ensure that all records are complete and accurate.

Essential Skills Needed:

  1. Experience: Minimum of 1-2 years of experience in a similar administrative or clerical role, ideally within procurement or quality control.
  2. Microsoft Office Skills: Must have 1-2 years of experience using MS Office, specifically Word, Excel, PowerPoint, and Outlook.
  3. Communication Skills: Previous experience in telephone communication, including interacting with internal staff and external suppliers.
  4. Language Proficiency: Fluent written and verbal English is essential, with the ability to communicate clearly and professionally.
  5. Organisational Skills: Demonstrated ability to organise and manage multiple documents and tasks with a high degree of accuracy and attention to detail.
  6. Independence: Proven ability to work independently, managing deadlines and following up on outstanding documents with minimal supervision.
  7. Document Management: Experience handling confidential and sensitive documents, ensuring they are stored securely and ready for audit.
