About the Job
The School Administration Officer (International Students) plays a vital role in ensuring the smooth integration of international students into the school community. The role involves managing administrative tasks related to enrolment, orientation, and compliance with immigration regulations. The officer will be the primary point of contact for international students and their families, supporting their welfare and academic progress.
Key Responsibilities
- Administer student documentation, including letters (GNIB/PPS), bank account applications, and other relevant paperwork.
- Coordinate with students, families, and guardians to gather necessary information, following up when required.
- Assist students with timetable creation and respond to Moodle queries.
- Provide day-to-day pastoral support and escalate issues to the Year Head or Head of Pastoral Care when necessary.
- Organise and deliver a comprehensive orientation programme for international students, including follow-up sessions for late arrivals.
- Maintain and update international student handbooks and Moodle pages related to student life and academic support.
- Assist students with university applications, including guidance on writing personal statements.
Ideal Candidate Profile
- 3-5 years of office administration experience, ideally in education or student services.
- Proficiency with MS Office Suite (minimum 3 years), including Word, Excel, and Outlook.
- 1-2 years of experience using Moodle or a similar Learning Management System (LMS) for handling student queries.
- 2+ years of experience working with international students, including liaising with families abroad and handling cultural sensitivities.
- 2+ years of experience creating and managing student timetables or academic schedules.
- Proven 2+ years of experience in pastoral care or providing welfare support to students, especially those away from their families.
- Strong written and verbal communication skills, with demonstrated ability to communicate with parents/guardians from different cultural backgrounds (minimum 2 years of experience).
- Experience managing student records and visa compliance documentation with a high degree of accuracy (2+ years).
- Basic IT troubleshooting skills with a minimum of 1 year experience supporting school systems and learning platforms.
