Full-Time Receptionist

VAC-11837, South Dublin

An exciting opportunity has arisen for a Full-Time Receptionist to play a pivotal role in the daily operations of a client’s premises in Stillorgan. This position combines both receptionist and facilities management duties, making it an ideal role for individuals who excel in multitasking and enjoy both administrative and operational responsibilities. The successful candidate will be instrumental in providing a welcoming atmosphere for visitors and ensuring the smooth functioning of the office environment.

  • Visitor and Call Management: Serve as the first point of contact for all visitors and incoming calls, ensuring a professional and warm reception. Direct inquiries to appropriate staff across departments, including senior management and support services.
  • Postal and Courier Services: Manage all aspects of mail distribution, including sorting, franking, and arranging for the dispatch and receipt of parcels. Oversee courier and taxi bookings as required.
  • Meeting Room Coordination: Handle the scheduling and preparation of meeting spaces, ensuring they are equipped and ready for use. This includes managing bookings and arranging necessary facilities and equipment.
  • Facilities Support: Assist in the day-to-day facilities management, including monitoring office supplies, coordinating with the Facilities Officer for maintenance tasks, and supporting health and safety initiatives.
  • Safety and Security: Contribute to the implementation of fire safety and health and safety policies. Perform regular checks, maintain safety records, and act as a point of contact in ensuring the workplace meets compliance standards.
  • Administrative Assistance: Provide administrative support across departments as needed, including document preparation, data entry, and other ad hoc tasks to support the efficient operation of the office.
  • Exceptional communication and interpersonal skills, with a focus on customer service.
  • Proven ability to handle multiple tasks simultaneously with high attention to detail.
  • Familiarity with office management procedures and proficiency in MS Office.
  • A proactive and adaptable approach to problem-solving.
  • Team-oriented attitude with the ability to work independently as required.
