Temporary Facilities Coordinator – Dublin 15 | Temporary Contract
| 4–6 Weeks | Immediate Start | €45,000–€50,000 Pro Rata
Monday to Friday | 8:00am – 5:00pm | Fully On-Site

Job Overview

As a Temporary Facilities Coordinator, you will act as a key link between property managers, facilities teams, contractors, service providers, and building occupants to ensure maintenance activities, repairs, and operational requests are delivered efficiently and to a high standard.

You will coordinate work orders, monitor contractor performance, maintain facilities records, and support the ongoing operation of a busy corporate environment.

The ideal candidate will be comfortable making decisions independently, resolving operational issues, and managing multiple priorities while maintaining excellent service standards.


Key Responsibilities

Facilities Operations Coordination

  • Coordinate facilities-related activities across the site
  • Act as a key point of contact between landlords, tenants, contractors, vendors, and internal stakeholders
  • Support the Facilities Management team with the day-to-day operation of the site
  • Ensure facilities services are delivered in line with agreed standards and procedures

Contractor & Vendor Management

  • Coordinate contractors and service providers carrying out repairs and maintenance works
  • Ensure contractors comply with site procedures and operational requirements
  • Maintain accurate contractor documentation and service records
  • Monitor service delivery and escalate issues where necessary

Work Order & Maintenance Coordination

  • Schedule repairs arising from work order requests
  • Track maintenance activities through to completion
  • Review work order reports and monitor performance and progress
  • Maintain accurate records of work orders, quotations, proposals, and service documentation
  • Support maintenance planning and facilities improvement activities

Property & Facilities Support

  • Support Property Managers regarding repairs, maintenance activities, and investment projects
  • Coordinate office space and parking allocations
  • Assist with facilities reporting and operational administration
  • Ensure departmental files and records remain accurate and up to date

Reporting & Stakeholder Communication

  • Prepare and review facilities reports and operational information
  • Present information to internal teams and stakeholder groups where required
  • Communicate clearly and professionally with contractors, vendors, tenants, and management teams
  • Support the delivery of a high standard of customer service across the site

Problem Solving & Decision Making

  • Identify operational issues and resolve them using established procedures
  • Evaluate available solutions and implement the most appropriate course of action
  • Operate with a high degree of autonomy while maintaining communication with the wider facilities team

Essential Requirements

Experience

  • Minimum 3 years’ experience within Facilities Management, Property Management, Building Management, or an Integrated Facilities Management (IFM) environment
  • Proven experience coordinating contractors, maintenance works, service providers, and work orders
  • Experience supporting Facilities Managers, Property Managers, Building Managers, or similar operational leadership roles
  • Previous experience working within a corporate office environment, commercial property portfolio, or large-scale facilities operation is essential

Technical Skills

  • Advanced proficiency in Microsoft Office, including Word, Excel, and Outlook
  • Experience using facilities management systems, CAFM systems, work order systems, or property management software
  • Strong reporting and documentation skills

Communication & Stakeholder Management

  • Excellent communication and customer service skills
  • Ability to build effective working relationships with contractors, suppliers, tenants, and internal stakeholders
  • Confident presenting information clearly and professionally
  • Strong interpersonal and problem-solving abilities

Organisation & Planning

  • Excellent organisational skills and attention to detail
  • Ability to manage multiple priorities simultaneously
  • Strong coordination and workload management skills
  • Ability to work independently and make sound operational decisions

Numerical & Analytical Skills

  • Comfortable reviewing reports and operational data
  • Ability to calculate percentages, discounts, mark-ups, and performance-related figures
  • Strong attention to detail when reviewing facilities information and service reports

Transport Requirement

  • Full clean driving licence is essential
  • Access to personal transport is required
  • Due to the location public transport access may be limited depending on your location and working hours

Desirable Experience

  • Experience within a corporate facilities environment
  • Commercial property management exposure
  • Previous experience within a large multi-tenant facility
  • Knowledge of contractor compliance and service-level monitoring

Contract Details


Salary

€45,000–€50,000 per annum (pro rata), depending on experience.

  • Be currently residing in Ireland
  • Be available to start immediately or at very short notice
  • Have previous facilities management experience as outlined above
  • Hold a full clean driving licence and have access to their own transport
