Are you an experienced administrator who is comfortable managing a reception desk but wants a role offering far more responsibility than answering phones and welcoming visitors?
Hall Recruitment is recruiting a Reception & HR Administrator for a busy engineering and manufacturing organisation in Dublin 17.
This is a three-month temporary assignment with the potential to become permanent if the successful candidate performs well and proves to be a good fit for the organisation.
The position is fully on-site because you will have responsibility for the reception desk and front-of-house operation. However, reception is expected to account for only around 15% of your overall workload.
The majority of your time will be spent working directly with the HR function, providing practical administration across recruitment, interviews, employment contracts, onboarding, employee records and general HR support.
This distinction is important: this is not simply a receptionist position with occasional HR tasks.
It is an HR administration role where you will also take ownership of reception.
What You’ll Be Doing
Reception & Front Desk
You will be responsible for ensuring reception remains professional, organised and welcoming throughout the working day.
Your duties will include:
- Welcoming clients, suppliers, contractors and delivery personnel
- Managing visitor sign-in procedures
- Issuing visitor badges and appropriate site safety equipment
- Answering and directing incoming telephone calls
- Monitoring general enquiries
- Managing incoming and outgoing post
- Supporting site access procedures
- Ensuring visitors are directed to the appropriate person or department
Because this responsibility requires someone to be physically present at reception, the position is fully on-site and cannot be performed remotely.
HR & Recruitment Administration – The Majority of Your Role
Once the front desk is running smoothly, the majority of your working day will be spent supporting HR.
This is where the position becomes substantially more varied than a traditional reception role.
Interview Coordination
You’ll help organise recruitment activity across the organisation, including positions within engineering, design, operations and manufacturing.
You’ll:
- Arrange candidate interviews
- Coordinate diaries between candidates and hiring managers
- Confirm interview arrangements
- Prepare relevant documentation
- Communicate schedule changes
- Help ensure candidates receive a professional experience throughout the interview process
Employment Contracts
You’ll assist HR with the administration involved when a new employee is hired.
This will include:
- Preparing employment contracts and associated documentation
- Updating relevant information and documentation for new employees
- Coordinating digital signatures
- Ensuring documentation is completed and returned
- Maintaining accurate employee records
The client’s brief specifically includes generating employment contracts and gathering signatures as part of the role.
New Starter Onboarding
You’ll help ensure new employees are properly prepared for their first day and first week.
Responsibilities will include:
- Setting up new employee profiles
- Preparing starter documentation
- Organising new starter packs
- Coordinating first-week schedules
- Supporting HR onboarding processes
- Helping arrange site and safety inductions
Employee Administration
You’ll also support the everyday HR queries and administration that arise within a busy workforce.
This can include:
- Maintaining employee documentation
- Supporting return-to-work processes
- Tracking absence documentation
- Managing self-certification forms
- Responding to routine employee policy queries
- Assisting with leave-related enquiries
- Maintaining confidential HR records
You’ll have access to sensitive employee information, so confidentiality and discretion are essential.
Health & Safety Administration
Because you’ll be working within an engineering and manufacturing environment, you’ll also provide some administrative support around Health & Safety.
You’ll help with:
- New employee and contractor safety inductions
- Training records
- Accident documentation
- Fire warden checklists
- First aid inventory
- General Health & Safety administration
You don’t need to be a Health & Safety specialist, but you should be comfortable following procedures carefully and maintaining accurate records.
General Office Administration
You’ll also help keep the wider office organised by:
- Ordering stationery and office supplies
- Monitoring stock levels
- Supporting staff kitchen and breakout areas
- Booking meeting rooms
- Arranging catering for meetings or staff briefings
- Supporting client visits
- Assisting with general office administration
What We’re Looking For
We’re looking for someone with at least 2 years’ administrative experience who is comfortable taking responsibility for reception while also developing or using their HR administration experience.
You should have:
- Minimum 2 years’ administration experience
- Previous reception or front-of-house experience
- Strong organisational skills
- Excellent written and verbal communication
- Confidence arranging interviews and managing diaries
- Strong attention to detail
- Good Microsoft Office 365 skills, particularly Word, Excel and Outlook
- Confidence working with databases or digital HR systems
- Ability to manage several priorities simultaneously
- Professional telephone and face-to-face communication skills
- A high level of discretion when dealing with confidential employee information
Previous HR Experience
Previous HR administration experience would be a significant advantage.
We’d particularly like to hear from candidates who have previously helped with:
- Recruitment administration
- Interview scheduling
- Employment contracts
- Employee onboarding
- Personnel files
- Absence administration
- HR databases
- Employee queries
However, someone with strong general administration and reception experience who is looking to develop further experience within HR could also be considered.
Working Environment
This position is based within a busy engineering and manufacturing environment.
You’ll interact with a wide range of people, from senior managers and corporate visitors to engineers, manufacturing employees, suppliers, contractors and delivery drivers.
You therefore need to be comfortable communicating professionally with people at every level of an organisation.
A second European language would be advantageous, although it is not essential.

€19.23 per hour
As this is a temporary assignment, you will be paid weekly through Hall Recruitment.
Hours
This is a full-time, Monday-to-Friday position.
The office operates with:
- Start time: Between 7:30am and 8:30am
- Finish time: Between 4:00pm and 5:00pm
The successful candidate will need to be comfortable working fully on-site due to their responsibility for reception.
Assignment
This is initially a three-month temporary assignment.
There is a genuine possibility of the position becoming permanent if the successful candidate performs well and the arrangement works for both parties.
Candidates should therefore approach this as a three-month commitment while also being open to remaining with the organisation longer term.
