Job Summary

Hall Recruitment is recruiting a Payroll & Accounts Administrator for an established organisation based in Dublin 12.

This is a permanent position combining Irish payroll administration, bookkeeping support, invoicing and general office administration. The successful candidate will play an important role in ensuring payroll information is accurately prepared, financial records are maintained and the day-to-day administrative requirements of the business are managed efficiently.

A key responsibility will be preparing and organising payroll information for a small workforce. Working under the direction of the company’s accountant, you will ensure that employee payroll details and supporting documentation are accurate, complete and ready for processing.

The accountant will be responsible for processing the payroll itself. However, you must have sufficient practical Irish payroll administration experience to understand what information is required, identify discrepancies and prepare accurate records within agreed deadlines.

You will also assist with bookkeeping and accounts administration, including preparing invoices, entering information into Sage and maintaining financial records. Additional responsibilities include answering telephone and email enquiries, managing filing systems and assisting with tender documentation.

This position requires a well-organised administrator with good numerical accuracy, strong computer skills and the ability to manage a varied workload.

Previous experience working with both Irish payroll and Irish bookkeeping/accounts administration is essential. Experience gained exclusively with payroll or accounting systems outside Ireland will not meet the requirements of this position.

The organisation is open to applicants seeking either full-time employment or a part-time arrangement of at least three full working days per week.


Key Responsibilities

Irish Payroll Administration & Preparation

Payroll administration is a central responsibility of this position.

You will work closely with the accountant to ensure employee payroll information is accurate, complete and ready for processing.

Responsibilities include:

  • Prepare and organise payroll information for a workforce of up to 12 permanent employees.
  • Gather and maintain relevant employee payroll records.
  • Check payroll information for accuracy and completeness before submission to the accountant.
  • Identify missing information or discrepancies requiring clarification.
  • Maintain organised and confidential payroll documentation.
  • Ensure payroll information is provided within agreed processing deadlines.
  • Respond to routine payroll administration queries where appropriate.
  • Maintain accurate records of payroll-related information and correspondence.
  • Provide general administrative support relating to payroll documentation.

What to demonstrate in your application: A minimum of two years’ practical experience supporting Irish payroll administration, including preparing employee information, maintaining payroll records and coordinating information for payroll processing.

Irish Bookkeeping & Accounts Administration

You will support the accountant with day-to-day bookkeeping and financial administration.

Responsibilities include:

  • Prepare and create customer invoices.
  • Enter invoice information into Sage.
  • Maintain accurate financial records and supporting documentation.
  • Organise and file accounts-related information.
  • Check financial information for accuracy before entry.
  • Assist with maintaining organised bookkeeping records.
  • Liaise with the accountant regarding accounts administration requirements.
  • Provide general administrative support with financial documentation.

What to demonstrate in your application: Practical experience with Irish bookkeeping or accounts administration, including invoicing, maintaining financial records and entering transactions into accounting systems.

Previous experience using Sage would be particularly beneficial.

Office Administration & Record Management

You will support the daily administration of the office, ensuring information is organised, accessible and maintained accurately.

Responsibilities include:

  • Manage general office administration.
  • Answer incoming telephone calls and respond to email enquiries.
  • Maintain electronic and paper-based filing systems.
  • Organise and update company records.
  • Prepare, edit and format business documents.
  • Ensure information is filed and maintained systematically.
  • Provide administrative support to colleagues as required.
  • Manage competing tasks and prioritise work appropriately.
  • Maintain confidentiality when handling employee, financial and business information.

What to demonstrate in your application: Strong administrative experience, excellent organisational skills and the ability to manage documentation and routine office activities independently.

Tender Documentation & Administrative Support

You will assist with preparing and maintaining documentation used in tender submissions.

Responsibilities include:

  • Compile documentation required for tender offers.
  • Edit and update existing tender documents.
  • Format documents using Microsoft Word.
  • Organise supporting information and attachments.
  • Check documentation for completeness and consistency.
  • Maintain accurate tender-related records.
  • Assist with administrative deadlines associated with tender submissions.

What to demonstrate in your application: Experience preparing, editing or compiling professional business documents. Previous tender administration experience would be advantageous but is not essential.

Customer Service & Communication

You will provide professional administrative support when dealing with callers, customers and colleagues.

Responsibilities include:

  • Answer telephone enquiries professionally.
  • Respond to incoming emails.
  • Direct queries to the appropriate person.
  • Maintain a helpful and welcoming approach.
  • Communicate clearly with colleagues and external contacts.
  • Handle confidential or sensitive information with discretion.

What to demonstrate in your application: Strong communication skills and previous experience in an administrative or customer-facing role requiring professionalism, accuracy and good customer service.

  • A minimum of two years’ practical experience in Irish payroll administration and Irish bookkeeping/accounts administration.
  • Experience preparing payroll information for processing within an Irish business.
  • Understanding of Irish payroll records and the information required by an accountant or payroll processor.
  • Experience maintaining financial records and supporting bookkeeping activities in Ireland.
  • Experience preparing invoices and recording financial transactions.
  • Strong proficiency in Microsoft Word and Excel.
  • Good numerical accuracy and attention to detail.
  • Ability to maintain confidential employee and financial records.
  • Strong organisational and time management skills.
  • Professional telephone and email communication skills.
  • Ability to work independently and manage a varied workload.
  • A reliable, methodical and proactive approach to administrative responsibilities.
  • Strong customer service and interpersonal skills.

Important: Applicants must have experience with both Irish payroll administration and Irish bookkeeping/accounts administration. Experience gained exclusively outside the Irish payroll and accounting environment will not meet these requirements.

Desirable Experience

The following would be advantageous:

  • Experience using BrightPay payroll software.
  • Experience using Sage accounting software.
  • Previous responsibility for preparing payroll information for an accountant or payroll provider.
  • Experience creating and recording invoices.
  • Experience assisting with tender documentation.
  • Previous experience working in a small office or finance administration team.

Salary, Hours & Working Arrangements

Salary: €35,000 per annum based on full-time employment.

For candidates working part-time, salary will be calculated on a pro-rata basis according to the agreed working hours.

Position: Permanent

Working Hours: 9:00am–5:00pm, with a one-hour lunch break.

The organisation will consider:

  • Full-time applicants.
  • Part-time applicants available for a minimum of three full working days per week.
