Part-Time School Administrator | Permanent | Part-Time – 25 Hours per Week | Dublin | €35,000 FTE, Pro Rata | On-Site

Are you an experienced administrator looking for a permanent part-time position with guaranteed, consistent hours?

We are recruiting a Part-Time School Administrator to join a busy and well-established educational organisation in Dublin.

This is a permanent position contracted for 25 hours per week – no more and no less. The successful candidate will receive the pro-rata equivalent of the organisation’s €35,000 full-time salary, together with access to the benefits available with the position.

The role will support the day-to-day running of a busy academic department, covering examinations, student administration, academic events, records, communications and general school administration.

It would particularly suit an experienced school or education administrator who wants the security of a permanent role but is specifically looking for a 25-hour working week rather than full-time employment.

About the Role

As Part-Time School Administrator, you’ll provide administrative and operational support across a wide range of school and academic activities.

You’ll work closely with the Academic Project Manager and wider academic team, helping coordinate examinations, student activities, events, records and communications throughout the academic year.

You’ll also act as a point of contact for students, academic staff, parents and external stakeholders, so this position requires someone who is organised, approachable and comfortable managing several priorities at once.

What You’ll Be Doing

School & Academic Administration

  • Support the day-to-day administration of the academic department
  • Maintain accurate student and academic records
  • Prepare reports, documentation and correspondence
  • Respond to student and staff queries
  • Monitor shared academic email accounts
  • Provide telephone and general administrative support
  • Support timetable administration and scheduling updates

Examinations

You’ll assist with the administration and organisation of examinations throughout the academic year, including:

  • Examination scheduling and timetables
  • Room allocations
  • Preparing examination materials
  • Coordinating examination supervisors
  • Examination documentation and reporting

Student Activities & School Events

You’ll help coordinate important events throughout the academic calendar, including:

  • Student orientation and onboarding
  • Open Days
  • Graduation ceremonies and events
  • Parent-Teacher Meetings
  • Academic bookings and venues
  • Transport and event logistics
  • Communications with students, staff and external stakeholders

Academic Team Support

You’ll also provide administrative support relating to external examiners and other academic personnel, including scheduling, documentation, reporting and tracking information.

From time to time, you may also assist with classroom or study supervision where required.

What We’re Looking For

This isn’t an entry-level administration position. We’re looking for someone who already understands how busy an educational environment can be and can quickly become a dependable member of the team.

Essential Experience

You should have:

  • At least 5 years’ experience within a school, college, university, training provider or other educational environment
  • Previous experience in school, academic or educational administration
  • Experience supporting examinations, student services or academic operations
  • Experience coordinating multiple activities, projects or events
  • Confidence communicating with students, parents, academic staff and senior stakeholders

Administration & IT Skills

You’ll also need:

  • Strong Microsoft Office skills, including Excel, Word, Outlook and Teams
  • Experience with CRM, student information, database or academic management systems
  • Strong record-keeping and reporting skills
  • Excellent attention to detail
  • Confidence handling sensitive and confidential information

Who Would This Role Suit?

Perhaps you’re looking to reduce your working hours while remaining in a permanent professional role, returning to the workplace after time away, or simply want a working arrangement that gives you considerably more time outside work.

The important distinction is that these aren’t variable part-time hours.

The contract is permanently set at 25 hours per week.

The organisation isn’t looking for someone who wants to gradually increase to full-time hours, and equally, you won’t routinely be expected to turn a 25-hour contract into a full-time working week.

Desirable Experience

It would be particularly useful if you have previously:

  • Supported examinations and assessment processes
  • Coordinated student orientation programmes
  • Helped organise academic events or ceremonies
  • Worked within post-primary, further education, higher education or private education

Salary & Benefits

The full-time salary for this position is €35,000 per annum, with the successful candidate receiving the appropriate pro-rata salary based on their permanent 25-hour weekly contract.

Important Information

This is a permanent, on-site position.

While your contractual working week is 25 hours, some flexibility may occasionally be required around important academic events such as Open Days, Graduation Ceremonies and Parent-Teacher Meetings. Any working arrangements around these events should remain consistent with the agreed part-time contract.
