Fleet Service Administrator

Fleet Service Administrator – Automotive Industry | Permanent | Full-Time | Dublin 4 | €36,000 | Monday to Friday | 9:00am – 17:30pm | Fully Office-Based

Job Overview

As a Fleet Service Administrator, you will act as a key point of contact for customers, suppliers, drivers, and service providers while supporting the day-to-day operation of a busy service department.

The role combines customer support, administration, purchase order processing, invoice management, database maintenance, and service coordination. Success in this position requires someone who is highly organised, customer-focused, and comfortable managing multiple priorities in a fast-paced environment.

This role is specifically targeted towards candidates who have previously worked within the automotive, fleet, leasing, or vehicle services sector and understand the pace and demands of supporting vehicle-related operations.


Key Responsibilities

Customer Service & Driver Support

  • Manage inbound telephone and email enquiries from customers and drivers
  • Deliver a high standard of customer service and issue resolution
  • Build positive relationships with customers, suppliers, and internal stakeholders
  • Provide timely updates regarding repairs, maintenance, and service-related queries

Service Administration

  • Provide administrative support to the Service Manager and Service Department
  • Maintain accurate customer, driver, and vehicle records
  • Update internal databases and systems accurately and efficiently
  • Ensure all documentation is processed and recorded correctly

Purchase Orders & Invoice Processing

  • Issue purchase orders to suppliers and service providers
  • Process supplier invoices accurately and in a timely manner
  • Assist with reconciliation and service-related administration
  • Ensure supporting documentation is complete and up to date

Service Coordination

  • Work closely with service providers, repairers, and suppliers
  • Support the coordination of vehicle repairs and maintenance activities
  • Liaise with internal teams to ensure smooth service delivery
  • Monitor service requests and follow up where required

Essential Requirements

Industry Experience

Previous experience within the automotive, fleet management, vehicle leasing, motor retail, vehicle servicing, or transport sector is essential.

Experience

  • Minimum 2 years’ experience in a customer service, service administration, fleet administration, or vehicle services support role
  • Experience supporting customers within a busy service environment
  • Experience processing purchase orders, invoices, or service documentation
  • Experience working in a fast-paced office environment

Communication Skills

  • Excellent verbal and written communication skills
  • Professional and confident telephone manner
  • Strong customer service focus
  • Ability to build relationships with stakeholders at all levels

Technical Skills

  • Strong Microsoft Office skills, particularly Outlook, Excel, and Word
  • Accurate data entry and record management skills
  • Experience using CRM, fleet, or service management systems is advantageous

Organisation & Professionalism

  • Excellent organisational and time management skills
  • Ability to prioritise competing tasks effectively
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team

Essential Licence Requirement

  • Full EU or EEA Driving Licence required

Salary & Benefits

  • Salary: €36,000 per annum
  • Pension contribution (3.5%)
  • 20 days annual leave plus statutory entitlements

Working Hours & Location

  • Dublin 4
  • Fully office-based role
  • Monday to Friday
  • 9:00am – 5:30pm
  • One-hour lunch break

Important Information

This is a permanent, full-time position.
