This Fleet Leasing Coordinator position offers an excellent opportunity to join a well-established organisation where customer service, organisation, and attention to detail are central to delivering an outstanding experience for customers and drivers.
Working closely with the Service Manager and wider operations team, you will coordinate vehicle maintenance, liaise with suppliers and repairers, process purchase orders and invoices, and act as a key point of contact for customers throughout the service process.
This is a busy, fast-paced role where no two days are the same. Success comes from being highly organised, proactive, and able to communicate confidently with customers, suppliers, garages, and colleagues while ensuring vehicle maintenance activities are delivered efficiently.
Responsibilities
Summary
As Fleet Leasing Coordinator, you will:
- Coordinate vehicle servicing, maintenance, and repair activities
- Support customers and drivers by phone and email
- Liaise with garages, suppliers, and service providers
- Process purchase orders and supplier invoices
- Maintain accurate vehicle and customer records
- Support the Service Manager with daily operational activities
- Ensure excellent customer service throughout the vehicle maintenance process
Customer Support & Communication
You will be the first point of contact for customers, drivers, and suppliers, responding to telephone and email enquiries in a professional and timely manner.
Keeping customers informed throughout the repair and maintenance process is a key part of the role. Your ability to communicate clearly, manage expectations, and resolve queries efficiently will contribute directly to customer satisfaction.
Previous experience providing customer support within the automotive, fleet management, vehicle leasing, or motor industry is essential, as you’ll already understand the pace of the sector and the importance of delivering excellent service.
Vehicle Maintenance Coordination
Working alongside the Service Manager, you will coordinate vehicle servicing, repairs, and maintenance activities.
You’ll liaise with garages, repair centres, suppliers, and internal teams to ensure work is scheduled efficiently, documentation is complete, and vehicles are returned to customers as quickly as possible.
Strong organisational skills and the ability to manage multiple tasks simultaneously are essential to maintaining service standards.
Purchase Orders & Invoice Processing
You’ll raise purchase orders, process supplier invoices, and ensure all service-related documentation is recorded accurately.
Attention to detail is essential, as you’ll be responsible for ensuring supporting paperwork is complete, costs are correctly recorded, and supplier information remains up to date.
Previous experience processing purchase orders, invoices, or service documentation will help you succeed in this aspect of the role.
Administration & Record Management
Maintaining accurate customer, driver, and vehicle records is an important part of the position.
You’ll update internal systems, monitor service requests, maintain documentation, and ensure all information is processed accurately and confidentially.
Good Microsoft Office skills and experience using CRM, fleet management, or service management systems will enable you to work efficiently in this environment.
Requirements
Summary
The successful candidate will have:
- Previous experience within the automotive, fleet management, vehicle leasing, vehicle servicing, or transport industry
- Minimum 5 years’ experience in fleet support, vehicle operations or service administration
- Experience coordinating vehicle maintenance or service activities
- Excellent communication and customer service skills
- Strong organisational and administrative abilities
- Proficiency in Microsoft Office
- Full EU or EEA driving licence
Industry Experience
This position is specifically designed for candidates with previous experience in the automotive sector.
Applicants should have worked within vehicle leasing, fleet management, motor retail, vehicle servicing, rental operations, or a similar environment where customer service and vehicle maintenance coordination formed part of their daily responsibilities.
Applications from candidates without relevant automotive industry experience cannot be considered, as no industry-specific training will be provided.
Customer Service & Communication
You’ll need excellent communication skills, a professional telephone manner, and the confidence to build relationships with customers, suppliers, drivers, and colleagues.
Experience managing customer expectations and resolving service queries within a busy operational environment will be highly beneficial.
Administration & IT Skills
You should be comfortable working with Microsoft Office, particularly Outlook, Excel, and Word, together with CRM, fleet management, or service administration systems.
Accuracy, attention to detail, and strong organisational skills are essential, as you’ll be managing multiple tasks and maintaining important operational records.
Organisation & Teamwork
The successful candidate will be proactive, well organised, and capable of managing competing priorities within a busy service department.
You’ll enjoy working collaboratively while also taking ownership of your own workload and ensuring service requests are progressed efficiently.
