Administrator – Building Maintenance Division
Department: Minor Works & Reactive Maintenance Division
Location: Office-based
Reports to: Contracts Manager(s) / Scheduler (working relationship)
Role Overview
The Administrator will support the Minor Works & Reactive Maintenance Division by recording, allocating, and arranging the completion of jobs and tasks. Work will be carried out either by in-house staff (General Operatives, carpenters, and roofers), by job-specific subcontractors, or a combination of both.
This is an office-based role supporting Clients and Contracts Managers, ensuring reactive tasks are allocated to the appropriate staff member or subcontractor, and that jobs progress smoothly from instruction through to invoicing.
Key Responsibilities
- Log calls and jobs on the company’s jobs management system
- Allocate reactive maintenance tasks to the appropriate staff member or subcontractor
- Work closely with the Scheduler to ensure jobs are completed in a timely manner
- Keep clients informed of job progress
- Follow up on paperwork and costs, progressing jobs to the stage where they can be invoiced
- Submit costs to clients for approval where further works are required
- Ensure all job paperwork is submitted and closed off correctly
- Liaise with the Finance team, who raise sales invoices
Candidate Requirements
- Background in facilities management, or a business involving building maintenance
- Proven administration and organisational skills
- Highly organised, with strong common sense and sound judgement
- Able to operate well under pressure
- Strong customer service focus
- Comfortable using job management/IT systems
