This Academic Administrator position offers an opportunity to play a central role within a busy academic department, supporting the delivery of examinations, student onboarding, academic events, reporting, and day-to-day academic administration.
Working closely with the Academic Project Manager and wider academic team, you will help ensure academic activities are planned, organised, and delivered efficiently throughout the academic year. The role requires exceptional organisational skills, strong stakeholder management, and the ability to manage multiple deadlines simultaneously.
Job Overview
As Academic Administrator, you will provide administrative and operational support across a wide range of academic activities including examinations, student orientation, academic events, reporting, and student services.
You will act as a key point of contact for academic staff, students, external examiners, and support departments while helping coordinate projects and initiatives throughout the academic calendar.
This role is best suited to an experienced educational administrator who understands the demands of an academic environment and can confidently manage competing priorities while maintaining high standards of accuracy and professionalism.
Key Responsibilities
Academic Administration
- Support the coordination and delivery of academic projects and initiatives
- Maintain accurate academic records, reports, and documentation
- Act as a key point of contact for academic staff, students, and external stakeholders
- Support the smooth day-to-day operation of the academic department
Examination Coordination
- Assist with the planning and scheduling of examinations throughout the academic year
- Coordinate examination timetables and room allocations
- Prepare and organise examination materials and documentation
- Coordinate examination supervisors and support examination logistics
- Assist with examination reporting and administrative processes
Academic Events & Student Activities
- Coordinate student orientation programmes and onboarding activities
- Support the organisation of Open Days and student recruitment events
- Assist with Graduation Ceremonies, Graduation Balls, and Parent-Teacher Meetings
- Coordinate academic bookings, venues, transport arrangements, and event logistics
- Support communication with students, staff, and external stakeholders regarding events
Academic Staffing Support
- Support administrative processes relating to external examiners and academic support staff
- Liaise with internal departments regarding contracts, scheduling, and reporting requirements
- Assist with tracking hours, documentation, and academic administration processes
- Prepare reports and information for senior management as required
Student & Front Office Support
- Respond to student queries professionally and efficiently
- Support timetable administration and scheduling updates
- Monitor and respond to shared academic mailboxes
- Provide telephone and administrative support
- Assist with classroom and study supervision where required
Essential Requirements
Experience
- Minimum 5 years’ experience working within an educational, academic, school, college, university, or training provider environment
- Proven experience supporting academic operations, examinations, student services, or educational administration
- Experience coordinating multiple projects, events, or academic activities simultaneously
- Experience communicating with students, parents, academic staff, and senior stakeholders
Technical Skills
- Strong Microsoft Office skills including Excel, Word, Outlook, and Teams
- Experience using CRM systems, student information systems, databases, or academic management platforms
- Strong reporting and record management skills
- High level of accuracy when handling sensitive information
