Job Summary

Hall Recruitment is seeking a professional and reliable Temporary Receptionist / Facilities Support for a short-term assignment in Ballincollig, Co. Cork.

This is a three-day booking, beginning with a training and handover day on Thursday 15th October, followed by reception and workplace cover on Monday 19th and Tuesday 20th October 2026.

You will provide front-of-house reception cover while also assisting with routine workplace and facilities coordination. The successful candidate should be comfortable dealing with employees, visitors and contractors, confident using computers and office systems, and capable of managing day-to-day requests in a professional manner.

As this is short-term cover, you will need to be comfortable learning existing procedures quickly and working independently following the initial handover.

Key Responsibilities

Reception & Front-of-House

You will provide a professional and welcoming first point of contact for people arriving at the workplace.

Responsibilities may include:

  • Welcome and assist visitors
  • Manage incoming calls and general enquiries
  • Direct visitors to the appropriate person or area
  • Maintain a professional and organised reception area
  • Assist with visitor access and sign-in procedures
  • Receive and distribute post, deliveries and couriers as required
  • Respond to general employee and visitor queries

What to demonstrate in your application: Previous experience in reception, front-of-house, customer service or another role involving regular contact with visitors and employees.

Workplace & Facilities Support

Alongside reception duties, you will provide day-to-day support with the smooth running of the workplace.

This may include:

  • Assist with routine workplace and facilities requests
  • Liaise with employees, contractors or service providers as required
  • Report facilities or maintenance issues to the appropriate contact
  • Assist with meeting rooms and shared workplace areas
  • Follow established site procedures
  • Escalate issues appropriately when they cannot be resolved directly
  • Provide general administrative support associated with the workplace

What to demonstrate in your application: Experience within an office, corporate reception, workplace or facilities environment would be useful, although strong transferable administrative and customer service experience will also be considered.

Computer & Administrative Support

Good computer skills are important for this assignment. You should be comfortable learning and using the systems required to manage reception and workplace activities.

What to demonstrate in your application: Confidence using computers and standard office applications, including email and Microsoft Office. You should be comfortable learning unfamiliar systems and following established procedures following a short handover.

Requirements

Applicants should be able to demonstrate:

  • Previous reception, administration, customer service or front-of-house experience
  • Good computer skills
  • Professional communication and interpersonal skills
  • A friendly and helpful approach when dealing with visitors and employees
  • Good organisation and attention to detail
  • Ability to follow workplace procedures and instructions
  • Confidence working independently after an initial handover
  • Reliability and punctuality, particularly given the 7:00am start
  • Professional presentation appropriate to a workplace reception environment

Previous facilities or workplace coordination experience would be advantageous but is not essential.

Availability

Applicants must be available for all three dates:

  • Thursday 15th October 2026 – training and handover
  • Monday 19th October 2026 – cover
  • Tuesday 20th October 2026 – cover

Working hours are 7:00am–4:00pm on each day.
