Outline:
As the Property Administrator you will provide support to the property department in all aspects of property management to ensure the efficient operation of the office. You will need to have excellent IT skills as the department has implemented a new property software system.
We are looking for candidates who have experience working for a Property Management Company or similar property/estates company and have had total responsibility for maintaining property records, leases, preparing presentations and comfortable taking minutes of meetings and thereafter producing reports and correspondence. You will also need to demonstrate that you have extensive IT skills.
Responsibilities:
- Support and lead the implementation and maintenance of the new property system.
- Ensure accurate records are maintained for all properties and assist with system-related tasks.
- Complete Property Services Regulatory Authority (PSRA) registrations for all leases.
- Produce Policy documents and maintain a sequential list.
- Maintain workflow and Department risk registers with the Director and Senior Property Officer.
- Conducting research on property-related topics.
- Maintain and submit annual Local Property Tax (LPT) returns.
- Take accurate minutes of meetings and produce timely Notes of Meetings and/or Reports.
- Research and create PowerPoint presentations.
- Support and lead out on the implementation and maintenance of the new property system ensuring that accurate records are maintained for all properties.
- Maintain and keep updated the property portfolio insurance schedule.
- Support the Department in ensuring good governance of all group properties in Ireland and the UK
- Point of contact for the property department
- Answer and direct phone calls.
- Organise and schedule in-person and/or Zoom meetings and appointments.
- Produce and distribute correspondence memos, letters and forms.
- Maintain computer and manual filing systems.
- Manage all invoices coming into the Department.
Requirements:
- Minimum 4-5 years’ property administration experience or project management reporting to senior management is ESSENTIAL.
- Business/Property Degree would be a distinct advantage.
- Exceptional proficiency in Microsoft Office systems and comfortable working on different and new software systems.
- Excellent written and verbal communication with particular ability to create and edit documents in MSWord, Excel and PowerPoint
- Attentive to detail, analytical, excellent grammar, punctuation and spelling, and problem-solving skills.
- Excellent time management skills and ability to multi-task and prioritise work.
