You will act as the first point of contact for all client issues. Queries such as minor adjustments of the building management system (BMS) can be completed without recourse to contractors. Requests for reactive cleaning can be resolved by the Building Manager or he/she may escalate the query onwards to the property manager.
Inspect the common parts of the site on a daily basis, noting mechanical, electrical, general maintenance requirements. On a daily basis he/she will review housekeeping practices, health & safety requirements, security and customer services issues. Take a proactive approach to resolve as many issues as possible by early identification of potential problems.
ISO Procedures and Health & Safety Standards
All maintenance, service and repair issues will be carried out in line with ISO procedures. This ensures that the site will operate in accordance with best practice as identified in the ISO 9000 procedures. Ensure that all operations and practices are carried out in compliance with current health & safety legislation. Complete a quarterly review of the Health and Safety Statement and update the report as necessary.
Keep the Property Manager informed on all aspects of the site operation by means of the provision of bi-monthly meetings / reports. Regular update by email is also acceptable. If required, the Building Manager will liaise with specialist contractors to ensure that the structure and fabric of the site is afforded maximum protection from any risk at all times. Where advice or approval is needed, refer to the Property Manager, and/or representatives
Managing Service Contracts
In liaison with the various contractors, resolve the day-to-day issues relating to the service contracts.
Ensure that contractors operate within the terms of their contracts. Ensure that the site is maintained to the highest standards and the best value for money is achieved. Continually review operating procedures to ensure they are in keeping with the high standard of the site.
Deal directly with security issues, ensuring correct action is taken and that the affected parties are dealt with professionally. Deal directly with all client complaints of any nature and take appropriate steps to rectify the situation or escalate to Property Manager/ Management Surveyor, if appropriate.
Mechanical & Electrical
Ensure the mechanical and electrical equipment are inspected to ensure proper maintenance and repair procedures are being adhered to. Maintain up to date files, data and drawings relating to the various mechanical and electrical elements of the site, as appropriate. Supervise the scheduling of routine maintenance and co-ordinate repairs where necessary.
Schedule routine maintenance and coordinate repairs
Monitor all general maintenance works carried out (routine and emergency) by contractors
Oversee the operation of security regimes within the buildings and ensure security officers within the site liaise in order to maximise security coverage. Monitor operation of the automated car park entry system to ensure the safe use of the car park by users. Co-ordinate emergency evacuations of the site. Confirm with the Property Manager that all relevant insurance and documentation is in place prior to works commencing
- Minimum 3/5 years previous experience within the Retail Management Sector
- Recognised Property or Facility Management qualification required
- Technical knowledge and/or Facilities Management experience
- Effective communicator with strong interpersonal skills.
- Excellent IT and Organisational Skills.
- A capability for achieving targets and meeting deadlines.
- Organised task manager who can handle a number of regular deadlines.
